About

This product is suitable for use in most companies selling physical products or just providing services. It is simple to use and no training is required. Just follow the steps outlined in this readme and you are ready to create impressive looking quotations to your prospective customers.

Generating quotations are repetitive, a mundane task and demands accuracy. With this product you will be able to replicate as many quotations as you need with just a few mouse clicks. The information entered into this system is also stored as a database and can be retrieved at any time.

You can use this product if you are a GST or Non-GST registered company.

After installing you will be able to start the Business Quotation System from your Desktop or from All Programs.

Start-up Interface

Please follow the steps below to set up your database.

In the section “All information in this section must be completed” are 8 labels. Except for the last label, you must provide complete information to the other 7.
Settings
In this interface you can determine the Starting Number for your Quotation. If you need a prefix to your Quotation numbers, enter this as well. Next you can specify the names of the person who prepared and approved the quotation. Finally enter the currency type. See snapshot below.






My Company

Provide the full profile for your company.

Customer

Enter the complete profile for your customers

Product
Enter the products or services that your company sells. In the “Product Description” you will be able to format the text to make you quotation stand out.

Note 1:  the field “Gst”. As you are aware not all products are subjected to Gst. If you are a Gst registered company you must select the appropriate rating. For non-Gst registered companies just select “Zero” or "Others".

Note 2: If you change a product’s Gst rating, all earlier quotations will continue to retain its previous rating.

Country and Manufacturer are self explanatory

Set GST
This interface will allow you to update the GST percentage on a later date.

Having completed all the above, you can start creating your Quotations.
To do this click on the label “Create Quotation”

The interface to create the Quotation is below. All fields with a down arrow are pick fields for ease of data entry. On the right hand side is where you add products to the quotation. When you have completed, click the “Print” button. On click, you will have a choice to save as PDF or Print (below).

You can revisit all your previously created quotations by clicking the label “Find Quotation”. To zoom into the specific item click the “Quote Nos.”

 

And finally, you can also view all the quotations that you had issued by any date range with the label “Summary Report”
